    OPT Transport UK Limited is the data controller for the information described on this page. It explains what we collect when you ask us to move a vehicle, why we hold it, who sees it, and what you can ask us to do with it.

    What we collect

    • Your name, telephone number and any other contact details you give us
    • Collection and delivery addresses
    • Vehicle details, including make, model and registration mark
    • Photographs and video of the vehicle recorded at collection and at delivery
    • Diagnostic data read from the vehicle at collection, including recorded mileage and stored fault codes
    • Location data for the vehicle while the movement is in progress
    • Records of our correspondence with you, including WhatsApp messages

    Where we get it from

    • Directly from you, by telephone or WhatsApp
    • From the dealership, trader or business who booked the movement
    • From our own devices, and those of our approved carriers, during the movement

    Why we hold it

    • To carry out the movement you or our customer has asked for. Lawful basis: performance of a contract.
    • To record the condition of a vehicle before and after transport, so any damage can be identified and resolved fairly. Lawful basis: legitimate interests.
    • To deal with an insurance claim if one arises. Lawful basis: legitimate interests, and legal obligation where we are required to cooperate with an insurer.
    • To keep accounting and tax records. Lawful basis: legal obligation.

    Photographs and video

    Our walk-around video and photographs are taken to record the condition of the vehicle. They are taken wherever the vehicle is collected from or delivered to, which may be a private address.

    We record the vehicle, not people. We will not use this material for marketing or promotion without asking you first.

    Who we share it with

    • The approved carrier carrying out the movement, where we place work with one. Every approved carrier is vetted and is required to hold the same level of insurance cover that we do.
    • The customer who booked the movement, who will normally receive the condition record.
    • Our insurer, and where necessary their loss adjuster, in the event of a claim.
    • Our accountants and HMRC, for tax records.

    We do not sell your information, and we do not share it for marketing.

    How long we keep it

    Condition records are kept for six years, which is the period within which a claim could ordinarily be brought. Accounting records are kept for six years, as required by HMRC. Enquiries that do not lead to a booking are kept for twelve months.

    WhatsApp

    If you contact us on WhatsApp, your message is carried by WhatsApp and handled under their terms and privacy policy as well as ours. We hold the message history in the app on our own device.

    Your rights

    Under UK data protection law you can ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it where we do not need to keep it, restrict how we use it, stop using it where we rely on legitimate interests, or provide it in a portable form.
